How to use Virtual Fax

The NEWT Virtual Fax Solution allows you to send and receive Faxes via email from an authorized email address. A maximum of up to 5 authorized email addresses are permitted on your account for “sending from”.

Note: For additional email addressed (purchase required), please contact the project coordinator during system set up.

If this is an “after sale” change requirement, please contact your provider or send your request to newtmac@fibernetics.ca.

Sending a Fax via Email

Sending Faxes To: are limited to 5 recipients per fax, to avoid “fax spam” related issues.

(Please note that File Size limits may be restricted by your internet provider).

  1. Create a new email message, and send To: destinationfaxnumber@newtfax.com

    Example: Fax to 222-555-8888 by entering 2225558888@newtfax.com

  2.  Attach the document that you wish to send as a fax (MS Word or PDF file types only)

  3. Cover Page customization:

  • Any text in the Subject field will be included in the Subject of the Cover Page

  • Any text in the Body of the email will be included in the Body of the Cover Page

  • If the Subject and Body of the email are blank, the fax will not include a Cover Page

Note: The “From” email address must be pre-configured on the NEWT Virtual Fax Sender’s List. If needed, authorized email addresses can be changed by contacting newtsupport@corp.fibernetics.ca

Fax Delivery Notifications

A NEWT Virtual Fax account can be configured to receive fax transmission reports via email for successful and / or unsuccessful (non-delivery) fax send attempts. Fax transmission reporting can also include the converted fax image or the original fax email.

If Successful Fax Notifications are enabled, then a Fax Delivery Successful message will be delivered to the email address that sent the fax.

If Unsuccessful Fax Notifications are enabled, then a Fax Delivery Unsuccessful message will be delivered to the email address that sent the fax. The Error notes will indicate why the fax transmission was unsuccessful. In the below example, the fax transmission was sent from an unauthorized email account.

Receiving a Fax via Email

Inbound faxes are routed to the main customer supplied email address that is linked to the fax number assigned to a NEWT Virtual Fax account.

Faxes are received via email from no-reply@newtfax.com via PDF attachment.

  Note: Any email replies to ‘no-reply@newtfax.com’ will be automatically discarded
